Booking, Payment, and Cancellation Conditions

All the tours featured on our web site are available at the prices stated on a request basis. Please advise us in writing should you wish to book. After confirming details, which can include amendments to the web site tour details, all cancellations must be received by us in writing via e-mail or fax. Cancellations are considered binding only if we have responded to show receipt of cancellation.

Payment for FITs (except for Cycling tours):
If booked more than 1 month prior: 10% non-refundable deposit at the booking stage + 90% balance to be paid 3 weeks prior to arrival. When booked 1 month or less prior to arrival then full payment at the booking stage.

Payment for Cycling tours:
Full prepayment is required 6 weeks before arrival.

Cancellation terms for FITS (1-9 pax unless stated otherwise) * not including cycling tours:
When tour is cancelled more than 1 month prior 10% cancellation fee will be held.
When tour is cancelled 2-4 weeks prior then 50% cancellation fee will be charged
When tour is cancelled less than 2 weeks prior, up to 100% cancellation fee will be charged.

In cases where passengers arrive late at night or early in the morning, supplements to the basic cost may apply.

* Cancellation terms for Cycling tours:
When tour is cancelled more than 6 weeks prior arrival, no cancellation fees will be charged
When tour is cancelled 4-6 weeks prior then 50% cancellation fee will be charged
When tour is cancelled 2-4 weeks prior then 75% cancellation fee will be charged
When tour is cancelled less than 2 weeks prior, up to 100% cancellation fee will be charged.

Currency & Bank Fees:
Invoice and payment will be in EUROS, paid by bank transfer directly into our bank account. TTE-The Travel Experience will pay bank receiving fees. Customer is responsible for any sending or any other bank fees imposed by its own bank.

Notes on Exchange Rates:
Tour prices are usually quoted in EUR (euros). If the tour price is in an alternative currency it will be clearly stated on our proposal. Some tours are quoted in euros but involve buying in more than one currency. In these cases our proposal price is based on the exchange rates on the date our proposal is sent. We reserve the right to amend the price at time of invoice should the buying currencies have fluctuated by 5% or more. We base our currency calculations on the exchange rates issued by the European Central Bank. Please visit http://www.ecb.int/stats/exchange/eurofxref/html/index.en.html and use the "Charts" link to see the graphical change over time of the currencies involved. For proposals in a single currency that is not euros, we will price in local currency. If you prefer such proposals in euros, the exchange rate fluctuation rule above will apply.

Credit card payments are possible for a supplement of 2%.

If payment not received into our bank account by the dates stated on the invoice we reserve the right to cancel accommodation and services as above without notice, and are not bound to re-book or replace with alternative accommodation or services should late payment be received. Every effort has been made by TTE-The Travel Experience to ensure accommodation and services as agreed will be provided. However TTE-The Travel Experience cannot be held responsible for third party infringements or for losses or injuries caused by Force Majeure, or by events beyond its control. In the unlikely event that for reasons beyond our control we would need to change any of the accommodations or services we shall provide alternatives of same or better level.

Re: All tours
We reserve the right to change programme according to weather conditions. Please note each traveller should have a valid travel insurance.

Re: Husky tours
- Only adults 18 years or older are allowed to drive the dog team on their own. - Driving or riding on a husky sled is not suitable for persons suffering back or leg problems, nor recommended during pregnancy.
- Customers should have valid travel insurance covering winter sports.
- Customers should dress up warmly. Several thin layers of clothing is recommended. Provided with the husky tour is winter overalls, boots, socks (own socks still needed), mittens, hats, and scarf.

Re: Snowmobile tours
- Please note that snowmobile safari prices are based on 2 sharing a snowmobile (unless stated). The driver (can be swapped during the safari) must have a valid driver´s license with them and under no influence of alcohol. Self-liability in case the participant causes any damage to the snowmobile during safari is up to 980 EUR per person. In case of an accident the payment will be collected on-the-spot. Self liability can be reduced to 150 EUR by paying a waiver supplement 15 EUR per driver per safari. -Snowmobile safaris include rental of thermal outfits and boots.
- Child policy: Children (4-14 years) receive a 25% discount during the period 1 December 2013 – 5 January 2014 and a 50% discount at other times. This discount entitles children to a seat in a sled pulled by a snowmobile driven by the guide. Children over 140 cm in height are allowed to sit on the snowmobile when paying the adult price. Please note that different terms and prices apply to husky safaris which include snowmobiles.
